Privacy Policy
Reaching Out Assisting Refugees (ROAR) is a volunteer-run BC society that sponsors LGBTQI+ refugees. We are committed to protecting your personal information in accordance with British Columbia’s Personal Information Protection Act (PIPA) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
This policy explains what personal information we collect, why we collect it, how we use and protect it, and your rights.
What We Collect
When you interact with ROAR — by becoming a member, making a donation, registering for an event, signing up for our newsletter, or contacting us — we may collect your name, email address, mailing address, phone number, and payment information. We collect only the information needed to fulfil the purpose for which you provided it. Donations made online are collected via Canada Helps. Please visit their website for information about their data policies.
Why We Collect It
We use your personal information to process memberships and donations, send newsletters and event information you have opted into, acknowledge your support, comply with legal and financial reporting requirements, and communicate with you about ROAR’s work. We will not use your information for any purpose beyond what you have consented to.
Where Your Information Is Stored
Our website is hosted by Squarespace, Inc., a US-based service provider. When you submit information through our website, that information may be stored and processed on servers located in the United States. While your information is in the United States, it is subject to US laws, including laws that may permit government authorities to access data under certain circumstances.
Squarespace maintains industry-standard security practices. However, because your data may be stored outside Canada, it may not receive the same privacy protections as data stored within British Columbia. By providing your information through our website, you acknowledge this transfer.
Our email newsletter is managed through Squarespace Email Campaigns (formerly Mailchimp integration), which also uses US-based infrastructure.
How We Protect It
We take reasonable steps to protect your personal information from unauthorised access, use, or disclosure. Access to member and donor records is limited to ROAR board members and designated volunteers who need it to carry out their responsibilities. We do not sell, rent, or trade your personal information to any third party.
How Long We Keep It
We retain your personal information only as long as necessary to fulfil the purposes for which it was collected, or as required by law. If you cancel your membership or ask to be removed from our mailing list, we will delete your personal information within a reasonable timeframe, except where we are required to retain records for financial reporting.
Your Rights
Under BC’s Personal Information Protection Act, you have the right to know what personal information ROAR holds about you, to request a copy of that information, to request correction of any inaccuracies, and to withdraw your consent to our collection, use, or disclosure of your information. To exercise any of these rights, contact us using the details below.
Consent
By submitting your information through any form on this website, you consent to its collection, use, and storage as described in this policy, including the transfer and storage of your data on servers located in the United States.
You may withdraw your consent at any time by contacting us. Withdrawal of consent may limit our ability to provide you with certain services, such as membership communications or event registration.
Changes to This Policy
We may update this policy from time to time. Any changes will be posted on this page. We encourage you to review this policy periodically.
